HR Administrator - Shared Services
Job Summary
As part of the Shared Services team, the HR Administrator will be responsible for preparing, assisting, and entering data into our HRIS system and other various systems. The role requires systems knowledge and helps to ensure corporate policy, regulations and service standards are adhered to while processing daily HR activities.
Duties and Responsibilities
- Acts as liaison between Shared Services, HR, and other departments and projects in the company. Directs internal and external customers to the appropriate HR employee while fielding general enquiries
- Prepares paperwork needed to create and revise employee profiles in various HR systems and creates employee hard files
- Verifies and enters current field employee status changes into the HRIS system including but not limited to recruiting notes, new hires, rehires, change of status, terminations, and changes in personal information and banking information
- Communicates and follow up with field projects to obtain accurate employee paperwork in a timely manner. This duty ensures that critical paperwork for payroll is collected and keyed for integration
- Conducts research, gathering data and statistical reports, and maintaining statistical information
- Provides general administrative support such as filing electronic and hard copy and tracking deadlines
- Maintains confidentiality with regards to employee relations and organizational changes, protecting the security of information, data, and files
- Supports Business Units with requests for missing terminations from sites
- Communicates with Business Unit to follow up, clarify information or resolve issues and discrepancies - liaises with Business Unit and management for resolution
- Maintains effective working relationships with the direct team and maintains strong relationships with key members of the Business Units
- Participates in projects and other ad hoc duties as required
- Provides back-up for other administrators in the shared service centre as required
Qualifications: Education:
- Post-secondary education in Business Administration or related disciplines
Work Experience
- Minimum of 2 years' experience in Human Resources Administrative role in a Shared Services environment
- Strong attention to detail with the ability to process high volume transactions
- Experience in organizations undergoing change or rapid growth
- Experience working in projects in multi-country operations
- Experience in various HRIS systems (HRW@re or RAMCO preferred)
- Change management/ process improvement experience
