Information Management (IM) Coordinator – D365 & SharePoint Online Modernization
Location: Onsite – Ottawa
Duration: 22 Weeks
Security Clearance: Secret (Mandatory)
The client is undertaking an accelerated revitalization and enhancement of its D365 and SharePoint Online (SPO) environment. This initiative aims to rapidly modernize the organization’s information management (IM) ecosystem shifting from incremental improvements to a comprehensive transformation of platform architecture, user experience, and operational efficiency.
The IM Coordinator will work directly with the IM Representative to deliver focused, expert support throughout this modernization effort. This includes assessing the current IM landscape, redesigning information architecture, engaging stakeholders, configuring the D365/SPO environment, and developing governance and training materials. The objective is to deliver a highly functional, user-friendly, and future-ready IM structure that elevates operational performance for all staff.
Primary Responsibilities
Platform Assessment & Documentation
- Conduct a thorough assessment of the current D365 and SharePoint Online environment, with attention to performance bottlenecks, architectural inefficiencies, and gaps in operational functionality.
- Document existing data governance, site structures, user permissions, and standard operating procedures (SOPs) for both platforms.
Stakeholder Engagement & Requirements Gathering
- Conduct extensive engagement sessions with staff and key stakeholders to understand operational functions, pain points, and collaboration needs.
- Translate business requirements into clear technical specifications and functional designs for platform enhancement.
Platform Revitalization & Configuration
- Assist the IM Representative with configuring, developing, and testing new or redesigned SharePoint sites, lists, libraries, and workflows to improve user experience and performance.
- Support the implementation of enhanced features and modules within D365 to align the platform with operational processes.
- Develop and implement solutions for improved information architecture, data migration, and data cleanup to stabilize and optimize the environment.
Governance & Training Support
- Support the development of an updated IM Governance Framework for D365 and SPO, including refreshed policies, standards, and best practices.
- Assist in creating training materials, user documentation, and delivering basic training sessions to ensure staff adoption and organizational buy-in.
Must-Have Qualifications
- Active Secret Clearance (required)
- Minimum of 5 years of experience within the last 8 years in a SharePoint Online (SPO) Site Collection Administrator or Information Management (IM) role within a live Microsoft 365 environment (including the Modern Experience). Experience must include:
- Designing and enforcing Information Architecture (IA) using Content Types, Site Columns, and Managed Metadata (Term Store)
- Managing complex SPO permissions inheritance combined with Microsoft 365 Groups for site security
- Minimum of 5 years of experience within the last 8 years integrating and enhancing SharePoint Online with the broader Microsoft ecosystem, specifically:
- Configuring Power Platform solutions (Power Automate and Power Apps) for custom forms and automated business workflows
- Integrating SharePoint Online document libraries with Microsoft 365 to support unified document management and improved operational functionality

This is a hands-on, transformation-focused IM role. The successful candidate will:

- Work deeply within D365 and SPO architecture
- Engage directly with staff to understand and resolve IM challenges
- Deliver documentation, governance structures, and training
