Position: Projects and Procurement Coordinator
Location: Toronto, ON - PLEASE NOTE: Will be required to work in Europe for approximately 6 months starting early in 2022
Summary: Reporting to the Manager of Projects and Procurement, the Projects and Procurement Coordinator supports the Project Management and Procurement activities across the company's portfolio of projects.
KEY RESPONSIBILITIES:
Support to Manager of Projects and Procurement [50%]:
- Source International suppliers for specialized test facility equipment
- Maintain the company list of qualified Bidders, Suppliers and Sub-Contractors
- Assist the Procurement Manager in assembling requests for quotations, sub-contracts and purchase orders
- Aiolos employees are required to pass a security clearance for the existing Controlled Goods Program (administered by Public Services and Procurement Canada). The Projects and Procurement Coordinator will assume the Controlled Goods Program Designated Official (DO) responsibilities which include: conducting security assessments, managing the security plan and providing general training to other employees.
Support to Project Managers (PMs) and Project Engineers (PEs) [40%]:
- Obtain relevant project data from project leads, on a biweekly basis, and conduct data entry, and some analysis, for project schedules and project forecasting tools
- Obtain relevant project data from Project Managers and Project Engineers and update monthly and quarterly project progress financial reports
- Assemble invoice backup documentation for projects, as directed by the PM/PE's
- Maintain Projects' Transmittals and Submittals, and logs
- Assist Project Managers in maintaining the project procurement plan
Support to Quality Manager (QM) [10%]:
- Assist the QM with internal auditing as needed (typically once per month)
- Perform non-conformance investigations; perform follow up on various non-conformances to ensure timely conclusions and close out
QUALIFICATIONS:
- Certified Engineering Technologist, as a minimum
- Five years experience: three years in the Industrial sector with at least one year experience in procurement
- Holds a Controlled Goods Security clearance or is qualified to receive clearance (will be a condition of employment)
- Proven analytical skills
- Good working knowledge of the MS Office suite of programs
- Strong English oral and written communication skills; additional languages a definite asset
