About the Role:
As a Contract Administration Specialist, you'll play a vital role in supporting our business development, operations, engineering, and program management teams. Reporting to the Manager of Contracts & Proposals, you'll be responsible for advocating our risk management processes and financial objectives while ensuring compliance and fostering strong internal and external relationships.
Key Responsibilities
Contract & Proposal Management:
- Enforce policies and procedures related to contract execution and proposals.
- Maintain and manage the contracts & proposals database, ensuring accurate and timely documentation.
- Prepare internal and external reports on contracts and proposals progress.
- Ensure timely renewal and adjustments as per management policies.
- Support finance and other departments with invoice validation.
Administrative Support:
- Coordinate with cross-functional teams for effective data compilation.
- Handle filing, distribution, and organization of executed contracts.
- Address and resolve administration issues related to contracts and proposals.
Compliance & Reporting:
- Stay updated on legal requirements and contract terms to ensure compliance and maximize business advantages.
- Maintain awareness of reporting requirements to support the business’s goals.
Core Skills Communication:
- Excellent written and verbal English skills are essential.
Attention to Detail:
- Precision and thoroughness in managing contract details.
Technical Proficiency:
- Advanced skills in MS Office Suite (Teams, Word, PowerPoint, Outlook, Excel).
Time Management:
- Ability to handle multiple assignments and meet deadlines with professionalism.
Confidentiality:
- Experience managing confidential information discreetly.
Education & Experience Education:
- Minimum of a Certificate in Legal Administrative Studies or equivalent.
- A diploma in Legal Studies, Paralegal, Business Law, or a related field is considered an asset.
Experience:
- Ideally 1-3 years of experience in high-volume contract and proposal administration, preferably in a fast-paced environment.
- Familiarity with the aerospace industry is beneficial.
Must Haves:
- Minimum of a Certificate in Legal Studies/Legal Office Admin – Diploma considered an asset
- High attention to detail – proof reading, spelling, grammar, comfortable with editing documents and multiple revisions
- Ability to follow processes/database management entry and oversight
